Open Forum
Approval of Minutes
- October minutes approved as written.
President's Report
- Review of monthly duties
- Treasurer to put in a call to
our auditors to find out the status of our audit
- Signs need to be placed on mailboxes,
reminding resident that there will be no trash pick up on
Thanksgiving - Judy
will also post this on the website
- Assessment notices need to go
out by the end of the month. Notice will be in the form of
a letter explaining next year's assessment.
- Al Sanford volunteered to lead
the nominating committee -
We still need two non-board members from the community
- Treasurer needs to send financial
statements to Judy for posting on the web site
- 2003 proposed budget presented
and discussed.
- Increase the reserve contribution
to $23,000 (from $22,000 in draft budget) based on preliminary
findings of the reserve study
- Increase POA packet sales to
$250
- Motion to approve the proposed
budget with the above-mentioned changes passes unanimously
- Board decides, by vote of 3 for,
1 against, to raise the maximum amount that can be charged for
the quarterly assessment to $165.77, although we will continue
to currently charge only $135.
- The reserve study is almost completed,
and will soon be delivered to us in draft form. -- We
will have 6 months to make changes, after which time it will
go final
Vice President's Report
Treasurer's Report
- Spending to this point of 2002
looks to be right on schedule - in fact we are about $2,000
on the plus side
- We still have some money to spend
on planting of trees
Secretary's Report
ARC Report
- Board developing a letter to be
placed on cars that leak oil. This letter will notify owner
of the problem and give violator one week to fix the problem
while in the meantime protecting the parking surface. Subsequently,
after the week notice, the car will be towed after a second
24 hour notice.
- President working on final
wording.
- One application has been received
requesting permission to put up new shutters
- A home that was asked to lower
shed has complied with request
- Two of our egregious cases are
still outstanding with the attorney
Grounds and Maintenance
- Vice President is working on getting
our sidewalks repaired
- He presented estimates from
two contractors: one for only sidewalk work; the other for
both sidewalk repairs and road resurfacing
- Due to the complexity of having
streets done, we decided to do just the sidewalks and curbs
repair work at this time.
- Decision made to seek an estimate
from one more contractor
- Snow removal contract approved
unanimously
- It will be changed to reflect
snowfall at National Airport rather than at Dulles
- Decision was made to apply a second
coat of sealant to our Backlick Road fence, at a cost of about
$300
Website
POA
- Betty Lillard has agreed to take
over POA duties. All new requests for POA Packets should be
referred to Betty accordingly.
