Special Board Meeting Minutes

September 18th, 2007

 

A special meeting of the Board of Directors was held on 18 September 2007 at 7:00pm. The meeting was held at 7040 Bradwood Court, Springfield, VA 22151. The purpose of this meeting was to finalize the 2007 Reserve Study Draft submitted to Leewood by Reserve Advisor’s, Inc.

The meeting was convened at 7:00 pm and immediately went into Open Forum. Since no homeowners present had any issues to discuss other than those related to the 2007 Reserve Study Draft, the Board moved immediately to discussion to finalize the Reserve Study, which was the purpose for the Special Meeting.

Board members had previously received a copy of the draft 2007 Reserve Study and had been asked to review it. Questions & corrections were compiled and submitted to Reserve Advisor’s Inc., who responded by clarifying and answering the questions put forth and noting corrections. Board members are now reviewing the Study again after receiving additional/clearer information.

Specific discussion focused on the schedule of capitol maintenance & repair to Leewood, such as street paving, sidewalk repair, perimeter fence repair/replacement etc. The Board discussed and compared what the Reserve Study recommended and what the Board felt was needed, and when, based on Leewood history, current needs and costs and what residents have indicated they desire.

Specifically, the Board determined that the 2008 expenditures recommended by Reserve Advisors be reduced. It was also decided that the portion referring to the perimeter fence would be removed. The fence has been repaired, is in good shape and, excepting storm damage or traffic mishap, should not need replaced during the life of this particular Reserve Study. It was also determined that the Study was not presenting a reasonable time-line for sidewalk and paving repair/replacement. Trip hazards have been identified and graded by severity as have the streets and an adjusted timeline will be provided to Reserve Advisor’s Inc.

The meeting was adjourned at 8:30 pm.
