Monthly Board Meeting Minutes
July 9, 2013

Convening: The
meeting was called to order at 7:41
p.m. at the Phillips
School, 7010 Braddock Road, Annandale, VA 22003.

from June 11th,
2013 meeting were approved.
Open Forum:
The board discussed the new Virginia laws and made note that solar panel
information needed to be added by Heather to the disclosure statement (section 3.11 in leewood design and
maintenance standards booklet) and the board can charge late fees on
assessments after 60 day period of delinquency. Pat requested via email
estimates from the homeowner with the drainage issue that are associated with
the common area. When estimates are given, the board will discuss the next
step. Four tires were placed out for trash removal. A neighbor was kind enough
to dispose said tires to the dump because the trash company will not pick them
up and they were an eye sore (Thank you Good Samaritan). A rat problem in the
community was brought to a board member’s attention. It was agreed by the board
that the neighbor(s) should call the county health department to report a
homeowner whose property may be contributing if it continues.
Officers Report:
President: Pat will bring Heather and Pam to Wells
Fargo Bank. Pat will bring Heather on Thursday July 11th for
transferring signors on the account.
Vice President: Judi’s walk through with the lights
resulted in a deletion of one light recommended by the Dominion Power
Specialist (12 to 11
lights). The specialist will do a complete light drawing with prices for each
light. Judi will meet with the Dominion specialist again on 8/9. Judi
recommends that the board members and Janet walk the light plan together.
Secretary: Heather discussed POAA packets and
questioned the members on how to obtain up-to-date budget, financial statements,
audit report and VA real estate documents. Leona directed her to the website
for the financial information and she would check at home for the VA real
estate license.
Treasurer: Maggie reviewed the 2013 leewood
assessments. She explained that on July 17th notices will go out to homeowners
concerning late assessments. A motion was made to send out three outstanding
accounts to the attorney.

Maintenance:
Janet gave the board Shenandoah’s proposal to remove tree
debris caused by a storm. The board agreed to the removal of tree debris and to
repair the damaged portion of the new fence. Shrubs have been pruned. The board
asked Janet to look into obtaining an estimate on removal of two trees.
Architectural Control
Committee:
The board approved an ARC hearing letter be sent to a
homeowner on the continence that the 14 day grace period elapses and the
repairs are not made.
Report on State of Finance: Leona
discussed the Schwab account. A previous member must certify it. Janet agreed
to sign it and get it notarized.
