May 14, 2013

Board Members Present:

Patricia Willingham - President

Judi Davenport - Vice President

Margaret Pitotti - Treasurer

Heather Pike - Secretary

Guests:

Rahel Abebe

Gedion Abebe

Janet Rourke (G & M chair)

Convening: The meeting was called to order at 7:39 pm at the Phillips School, 7010 Braddock Road,

Annandale, VA 22003.

·         Minutes from April 9, 2013 meeting were reviewed and approved.

Open Forum:

Parking concerns were brought up and it was discussed what board members had authorization to call the towing company to remove cars from the community.  It was agreed that all board members would be given a copy of the towing contract and be placed on the contract to authorize future towing. There was a concern on commercial vehicles continuing to park in reserved parking. The resolution was to ticket and tow these individuals.  For the next bulletin the local dumps will be provided and a note regarding paint cans.  It was noted that homeowners have complied with the request to picking up trash and debris in the common areas.  It was suggested that trees in the common areas needed to be pruned to deter children from playing on them and to prevent property damage to homeowners’ vehicles.  A request will be made to Shenandoah to walk the property again and check for trees that need more pruning.  The board discussed damaged grass that needed repair after a drainage pipe was put in by homeowners.  It was also noted that Daniel Marte needed to repair shingles.

Officers Report:

·         President: Pat commented on the work that homeowners were doing on their homes and her hope that by summer time the community will be spruced up.

·         Vice President: Judi said she was still looking into the message boards and she will call the electric company about the new lights.

·         Treasurer: Maggie said several homeowners were late on due payments and she would send another letter to them before going to the attorney.  She noted three homeowners were already reported to the attorney.  Maggie would give the final audit report to Pat and Leona.

·         Secretary: No report

·         At Large: Pam was absent but sent an email report on May 12, 2013. She noted homeowners have picked up debris, trash, payers and other ARC matters.

Summary from Committee Chairs:

Grounds and Maintenance:

Janet Rourke presented bids for fencing repair by Longs Fence and Accokeek.  The board members agreed Accokeek was the best estimate.  A sign was suggested to he placed on the fence to prevent children from going through the fence and damaging it.  (Ask Accokeek if they can provide).

A letter was approved to go out to affected homeowners of the drainage work.   Four areas will be repaired.

Janet said she would be getting several bids (4) for lawn and maintenance.  She will send these companies a standard contract to bid on.

Adjournment: The meeting adjourned at 8:46.
