Monthly Board Meeting Minutes

February 11, 2014

 

Board Members Present:

Patricia Willingham- President

Judi Davenport- Vice President

Heather Pike- Secretary

Margaret Pittoti-Treasurer

 

 

Convening: The meeting was called to order at 7:36 p.m. at the Phillips School, 7010 Braddock Road, Annandale, VA 22003.

 

  • Minutes from January 14, 2014 meeting was approved.

 

Open Forum:

The board discussed the parking issue concerning double parked cars and cars parked on curves. Agreed homeowners need to monitor this issue and let a board member know so we can ticket the offending car(s). The real estate form needed to get filled out. The board discussed the Next Door website. The website is like blackboard, homeowners could post comments and it’s free.

 

Officers Report:

President:

Mill’s request- regarding the work not a single board member has heard back from this homeowner.

Landscaping- the walk thru will be done mid March due to the weather and limbs that have fallen. One tree will be removed and 3-4 more trees will be evaluated for removal.

Mr. McSorely-After the hearing with board in January the final decision letter was mailed.

 

Vice President: Two fence companies will be contacted for the fence portion that had fallen by Backlick Road. Judi will request the fence companies to also look at a section of fence that is bowing. Signs went up on the message boards and roughly half of them have been taken down by anonymous person(s). Light poles have been put in and a shadow light can be used if needed. Tree limbs need to be trimmed by some light poles. Conduit will be run for the lights and a completion date has been set for April 4th (weather permitting).

 

Treasurer: Letters have been sent out for late payments.

 

Secretary: Heather discussed an area of fence that had missing pickets and has been repaired. An email needs to be sent to Dave to change the POAA representative. Three POAA packets have been delivered. Incentives were discussed as a method to acquire volunteers for open positions. The laws will be reviewed concerning the incentive idea. Heather will bring Judi paper protectors for the message board.

 

Annual Meeting:

It will be held on March 11th at 8 p.m. Maggie put the packets together and will place them in envelopes. Judi or Pat will mail the packets out. Maggie will ask Dana to work the front door during the meeting as the keeper of the quorum. There has not been a homeowner that has come forward to volunteer as a committee candidate or as a board member.
