Monthly Board Meeting Minutes

May 13, 2014

Convening: The meeting was called to order at 7:36 pm at the Phillips School, 7010 Braddock Road, Annandale, VA 22003.

Approval of past minutes: April 2014 meeting were reviewed and approved.


Officers Report:
President: Pat discussed the dog incident, July newsletter and adding the dog incident to it. (Allison will take over the newsletter and get template from Sarah). Tree removal so far we have two to remove but a fence needs to be removed by a homeowner for this to occur. The board will hold off on this tree removal until the homeowner complies. Pat says we need a secure site to secure all our documents because board members change. Need to digitalization them so they are organized and accessible. Pat will send Leona an email to discuss this further so we can see if we have the funding. Pat will begin a draft for our record keeping process.

Vice President: Judi heard a lot of compliments on the lighting. She has not heard from Travis from Dominion about another walk through. Need to have Professional Grounds to seed these areas. Next project is the locking signs. Judi looked at Peachtree and Global. She found reflective tape for the speed bumps and possibly have a professional person do these along with the parking painting. Judi said maybe order one sign to see how it will work. All board members were in favor to buy one sign.

Secretary: give Maggie bags, discussed POAA packets

ARC and G & M Report:

ARC: Dayna said  all ARC letters are out except 6. 84 are out and 20 percent are fixed already.

Grounds and Maintenance: discussed dry pond, dry pond sidewalk area, entrance area and the median by the bus stop. Spraying for weeds next week. Will get a clearer timetable for pruning trees and weed spraying. A walk through will be done tomorrow.
