Board Meeting Minutes

November 8, 2016

Board Members Present:

President: Patricia Willingham

Vice President: Janet Rourke

Secretary: Heather Pike

At-Large: Dayna Roy

Convening: The meeting was called to order at 7:31 pm at the Phillip School, 7010 Braddock Road, Annandale, VA 22003.

Approval of Past Minutes: September minutes were approved and October minutes will be postponed until board members can read the minutes.

Open Forum:

· No homeowners were in attendance

Board Reports:

President- Pat said the homeowner with the drainage has not gotten back to her after the letter. Pat discussed the plantings for the front sign and plantings around the mailboxes. The board voted and approved the plans for the plantings for the front sign. Dayna mentioned two trees that will need to be pruned that are hanging over the sidewalk on Leebrad. Pat will check with Jon regarding all above areas.

2017 Budget

The budget was revised at the October meeting. The board ratified and approved the 2017 budget.

Voucher 2017

The voucher and assessment letter was retyped.

The voucher was approved

The board reviewed the assessment letter, made edits and approved the letter with edits.

American Disposal Services notice regarding holiday trash pick up, Christmas tree pick up and yard debris pick up was approved to be sent to the homeowners

Key reminders about trash will go into the next newsletter

Homeowner Accounts:

Maggie sent out via email the updated assessment accounts

ARC:

A homeowner sent a picture via email concerning a tree leaning up against a homeowners fence. It’s pushing their fence back and the roots are affecting her patio. There are also three dead trees in the woods behind Leestone that we need to take care of and we would like the downed wood removed. Pat said she will ask Jon from Professional Grounds to get an estimate on all these trees.
